Job Description

We are seeking a highly organized and proactive Project Manager/Administrator to oversee our AI-driven projects and support administrative functions. In this hybrid role, you will manage project tasks, timelines, and resources while ensuring the smooth operation of our office. Your expertise will be crucial in driving our projects to successful completion and maintaining efficient administrative processes.

Key Responsibilities

Project Management:
• Provide support in managing R&D projects, including developing detailed project plans, including timelines, milestones, budgets, and resource allocation.
• Coordinate and communicate with cross-functional teams, including data scientists, engineers, and external stakeholders.
• Monitor project progress and performance, identifying and mitigating risks and issues.
• Facilitate regular project meetings, preparing agendas and documenting minutes.
• Maintain comprehensive project documentation and records.
• Ensure compliance with relevant guidelines and standards.

Administrative Support:
• Provide comprehensive administrative support to the executive team and project managers.
• Coordinate and schedule meetings, appointments, and travel arrangements.
• Handle correspondence, emails, and phone calls in a professional manner.
• Maintain and update company records, databases, and filing systems.
• Assist in onboarding new employees and coordinating training sessions.
• Organize company events and team-building activities.
• Perform other administrative tasks as required to support the team.

Qualifications

• Bachelor’s degree in Business Administration, Project Management, Engineering, or a related field.
• Strong organizational and multitasking skills, with attention to detail.
• Excellent communication and interpersonal skills, with the ability to manage diverse teams.
• Ability to work independently and handle multiple projects simultaneously.
• Problem-solving mindset and proactive approach to addressing challenges.
• Experience managing publicly funded R&D projects is a plus.
• Prior knowledge of AI, data science, aviation, weather, or software development processes is a plus.
